Volunteer Job Descriptions
Below you will find a list of all the jobs required to run swim meets along with a detailed description of each job. Some jobs require training or experience, and we typically try to fill those jobs as recurring roles for people prior to the start of the season (these jobs include Announcer, Starter, Clerk of Course, Order of Finish Judge, Stroke and Turn Judge, Concessions Manager, Meet Administrator, and TSA Representative). VOLUNTEER POSITIONS
| Announcer |
|
Communicate to swimmers, officials, and observers over the public sound system. Using a script, welcome the visiting team, thank our sponsors, and announce the coaches, TSA Rep(s), Starter, and Clerk of Course for the meet. Call swimmers by age group and gender to the Clerk of Course so they can line up to swim ahead of their race. Announce scores throughout the meet and make other announcements as needed. This job is for the entire meet and is worth 2 points. Only required at home meets. Experience and/or training preferred. |
| Clerk of Course |
|
Ensure all swimmers are in their proper lanes for each event, as indicated by the heat sheets. This is very important in order to avoid scoring and timing mix-ups. May combine events upon approval of the TSA reps and Clerk of Course from the other team. Coordinates with Starter when combining races. Clerk of Course will be notified of any last-minute changes before each main event. This job is for the entire meet and is worth 2 points. Experience and/or training required. |
| Concessions Stand Manager |
| In charge of scheduling and managing concessions for all home meets. The Concessions Manager ensures we have pizza, snacks, candy, drinks, utensils, plates, and napkins for each home meet (orders pizza and picks it up ahead of the meet, purchases other supplies as needed - reimbursement provided). Get coolers and fill with ice for drinks prior to the meet. Set up the concessions stand and run concessions (with an assistant) during the meet. Keep track of concessions money, turning in as needed to the swim team Treasurer. This job is only required at home meets and time trials and meets all volunteer requirements for the season. |
Help staff the concessions stand. Serve concessions during meet and help clean up concessions after meet. This job is worth 1 point and is for the entire meet. Only required for home meets. |
| Heat Ribbon Distributor |
|
Distribute ribbons to all 6 & Unders, 7-8, and 9-10 swimmers for heats (winner and participant ribbons). You do not hand out ribbons for main events, for swimmers age 11 and up, or for relay events. This job ends after the 9-10 butterfly events. This job is worth 1 point and is for the entire meet. Only required for home meets. |
| Hospitality/Sub |
| Walk around the pool deck ensuring all volunteers are offered and have water if needed (water and cooler provided). Typically you will need to do this every 10 minutes or so (depending on how hot and sunny it is outside). Be available to step in for a volunteer who either calls out at the last minute or who needs to take a quick break (for example, if a timer needs to step away, you would time their lane briefly). This job is worth 1 point and is for the entire meet. |

Line up swimmers for their events according to lane and heat assignments on the heat sheets. All kids should be lined up in order of races for the Clerk of Course. Ensure all swimmers have their correct numbers clearly marked on their arms. This job is worth 1 point and is for half the meet (either 1st or 2nd shift). |

Line up swimmers for their events according to lane and heat assignments on the heat sheets. All kids should be lined up in order of races for the Clerk of Course. Ensure all swimmers have their correct numbers clearly marked on their arms. This job is worth 1 point and is for half the meet (either 1st or 2nd shift). |
| Meet Administrator |
| Manage Time Drops system and Meet Maestro (our scoring and meet management system) during home meets. Prior to home meets, set up Time Drops and merge with Meet Maestro. During home meets, ensure all swimmer times are being imported properly event by event. Enter any disqualifications as needed. Make “deck changes” in real time as needed (sometimes swimmers are moved, cannot swim, etc., and they must be changed in Meet Maestro). Typically you will be working with a scorer from the other team. This job is worth 2 points and is for the entire meet (home only). Experience or training required. |
| Place Judge – Order of Finish |
|
Observe the finish order for main events only. An Order of Finish judge (OOF) must track the place order for all swimmers. In other words, you are watching for which lane’s swimmer touches first, second, third, etc., and you then record that on the Place Judge Forms. You will work with an OOF judge for the other team. Official place results are determined by the timing system, and the OOF judge serves as a back-up in case of a timing issue. This job is worth 2 points and is for the entire meet. Experience and/or training required. |
| Ribbon Coordinator |
|
The ribbon coordinator manages all ribbon inventory, prints labels for ribbons for home meets, and labels all home meet ribbons for both our team and the visiting team. The coordinator is responsible for filing our swimmers ribbons in the ribbon file box and delivering to the coaches (or arranging pick up) as soon as possible after the meet. The coordinator also arranges for delivery of the away team’s ribbons to the appropriate representative (typically within two days of the meet). At home meets, the Ribbon Coordinator brings all Heat Winner and Heat participant ribbons (and the apron for them) to the swim meet and ensures it is handed off to the Heat Ribbon Distributor. Ribbon coordinator tracks ribbon inventory and notifies the Board Chair when new ribbons need to be ordered (this should be done in advance of the season and based on the number of ribbons needed the season before). This job fulfills all volunteer requirements for the season. |

Requirements of this job will depend on the way the opposing team handles place ribbons. Some team may require that you fill out names and event info on all main event ribbons, while some may print labels for you and have you put them on the ribbons. This job is worth 1 point and is for the entire meet. Only needed at some away meets. |
| Runner |
|
Take place judge sheets from Order of Finish Judge and any disqualification sheets (DQs) from Stroke and Turn judges and bring them directly to the Scorer’s table. You will be sharing duties with a runner from the other team. This job is worth 1 point and is for the entire meet. |
| Scorer |
|
For home meets, the Scorer ensures that swimmer times are being received into the computer correctly, enters any DQs (disqualifications), and make any corrections necessary if there is an issue with the timing system and or swimmer number. DQs and event/place sheets will be brought to you by the runner. For away meets, duties will depend on the timing and place judging system used by the other team. If they use stopwatches and paper records for places and times, then the scorer works with the meet administrator and/or scorer from the home team to enter swimmers’ times, placements, and disqualifications for each event into Meet Maestro using the timing, event/place, and DQ sheets brought by the runner. | Starter |
|
Announce each race (including which heat, any exhibition lanes, and if events are combined). Communicate to swimmers when they need to step up for each race. Start all races by using the starter equipment. Must coordinate with the Clerk of Course and TSA rep when races are combined. Only required at home meets. This job is worth 2 points and is for the entire meet. Experience and/or training required. |
| Stroke & Turn Judge |
|
Judge whether proper stroke, turn, and finish are executed by the swimmers during the meet for main events. A 2-hour class from TSA (our swim association) prior to the season is required for this position. You will share duties with an S&T judge from the other team. This job is worth 2 points and is for the entire meet. Training required (experience preferred but not required). |
| Timer |

Time each race in your assigned lane. For home meets, the timing system is TimeDrops, which automatically sends times to the scorer (timers start automatically, and then you stop them when the swimmer in your lane touches the wall). Away meet duties will depend on the timing system used by the other team, though most teams use an automated system, in which case duties will be the same as for home meets. If a team uses stopwatches, you will start the stopwatch at the buzzer for the beginning of the race and stop it when your swimmer touches the wall. You will then record the swimmer’s time on the timing sheet. Double check that the swimmer’s number matches the timing sheet you are given (or write the swimmer’s number in on the sheet). There will be one timer from each team assigned to each lane. This job is worth 1 point and is for the entire meet. |
| TSA Rep |

Serve as a liaison between the swim team and the Tarheel Swimming Association (TSA) and as the representative of the swim team with the TSA. Attend all TSA meetings. Ensure home meets are set up properly in Meet Maestro (our scoring and meet administration system) for home meets. The TSA Rep serves as a member of the swim team board. All meets must have a TSA Rep for each team. The TSA Reps from each team work together to make sure the meet runs according to the TSA rules and regulations and to make decisions in case of weather or to facilitate efficiency during the meet.
